Work Order Attachments

The Attachments page is where you can access and manage images and documents attached to your work order.

ClosedAttachments List

The Attachments List displays the images and documents attached to this work order in separate sections. The first sections are typically shown as open by default, displaying available content. Additional sections, if displayed, are shown as closed by default.

ClosedImages

The Images section contains images that have been uploaded for this work order. This feature is often used to upload images of the problem encountered or being addressed.

ClosedDocuments

The Documents sections contain all documents that have been attached or uploaded to the record. A variety of document types can be uploaded or attached to a record, including links to external files or web pages. Listed documents can only be opened on your device if the software to view them is available.

The sections shown will include any predefined documents that are linked to the work order's asset or procedure, such as schematics or instructions. Documents retrieved from the associated asset or procedure are listed in their own section, typically closed by default.

Documents and files can also be added directly to the work order. Images can be uploaded as an image or as a document, depending on the preferred method at your organization.

The following procedures relate to documents.

ClosedView a Document

The Attachments List may include separate sections for Work Order, Procedure, or Asset Documents. There are four types of documents that can be included in the Documents sections:

  • Record Link - a file uploaded directly to the record (not stored in the Documents module in the Main Application (MRO))
  • Library Link - a file uploaded to the Documents module in the Main Application (MRO), such as a PDF

  • Library Document - a document created directly in the Documents module in the Main Application (MRO)

  • External Link - a URL link to an external site or document, also stored in the Documents module in the Main Application (MRO)

    This could include a link to a web page or a link to a document stored on an external server, such as Dropbox.

ClosedView Record Links (uploaded to record)

The method by which the selected attachment opens will depend on the device in use and the type of file. The file may open directly in another browser window, or your browser may prompt you to open it from a file directory / listing of some kind.

To view record links:

  1. Open the work order whose document you want to view.

  2. Tap the Attachments option in the menu.

    The Attachments List opens.

  3. Select the record link from the Attachments List.

    The View Document page opens. Documents that can be opened directly, such as images, display their content on this page automatically.

    Documents that must be opened in a new window or tab, such as PDFs, only list the document for selection on this page. You must select the item to view it.

  4. Once you are done, tap the Done button on the blue footer bar.

ClosedView Library Links (uploaded to Documents module)

The method by which the selected attachment opens will depend on the device in use and the type of file. The file may open directly in another browser window, or your browser may prompt you to open it from a file directory / listing of some kind.

To view library links:

  1. Open the work order whose document you want to view.

  2. Tap the Attachments option in the menu.

    The Attachments List opens.

  3. Select the record link from the Attachments List.

    The View Document page opens. Documents that can be opened directly, such as images, display their content on this page automatically.

    Documents that must be opened in a new window or tab, such as PDFs, only list the document for selection on this page. You must select the item to view it.

  4. Once you are done, tap the Done button on the blue footer bar.

ClosedView Library Documents

To view library documents:

  1. Open the work order whose document you want to view.

  2. Tap the Attachments option in the menu.

    The Attachments List opens.

  3. Select the library document from the Attachments List.

    The View Document page opens. The content stored with the document will automatically display on the page.

  4. Once you are done, tap the Done button on the blue footer bar.

ClosedView External Links

If the document is an External Link (reference to a web page or external file link), a paper clip displays on the icon on the Attachments List.

To view an external link:

  1. Open the work order whose external link you want to view.

  2. Tap the Attachments option in the menu.

    The Attachments List opens.

  3. Select the external link from the Attachments List.

    The link will open in a new browser window.

ClosedView Documents in Meridian

Organizations that use both Maintenance Connection and Meridian can access asset and work order documents in Meridian directly from the Asset Summary and Work Order Summary pages.

The View Documents in Meridian button on these pages displays only for customers who use both services.

Tapping this button navigates you to the Meridian application, displaying the documents associated with the record. The Meridian application displays properly on any device that supports MC Express.

ClosedUpload a Document

The Upload Document option will only display if this feature is in place at your organization. The availability and successful use of this feature is also dependent upon support from your device and operating system.

If you upload an image as a document, MC Express may not be able to detect whether the image is portrait or landscape, so it may not display properly. Use the upload image feature to ensure the desired orientation is honored.

To upload a new document:

  1. Open the work order you want to upload a document to.

  2. Tap the Attachments option in the menu.

    The Attachments List opens.

  3. Tap the Action button in the section header.

    The Action menu opens.

  4. Select Upload Document.

    Your device opens a file directory, allowing you to select a file to upload.

  5. Upload your file.

    The file must not be larger than 10 MB. MC Express will proceed to upload the file. The time that this will take will depend on the size of the file, as well as your connection speed.

ClosedEdit Document Settings

Documents that are stored in the MC Library include three settings that determine how the document should display on printed or emailed Work Order Reports. These settings can be modified as needed.

To edit document settings:

  1. Open the work order whose document you want to manage.

  2. Tap the Attachments option in the menu.

    The Attachments List opens.

  3. Select the document from the Attachments List.

    The View Document page opens. Documents that can be opened directly, such as images and Library Documents, display their content on this page automatically. File types that must be opened in a new window or tab, such as PDFs, will only list the document on this page.

  4. Tap the Action button in the section header.

    The Action menu opens.

  5. Select Document Settings.

    The Document Settings page displays.

  6. Make your changes.

    • Display Link on Work Order — Set this setting to Yes to display a link to the document in the Documents section of the printed or emailed Work Order Report.

    • Append to Printed Work Order — Set this setting to Yes to display the actual document content at the end of the printed Work Order Report. This option is only honored for images and HTM files.

    • Append to Emailed Work Order — Set this setting to Yes to display the actual document content at the end of the emailed Work Order Report. This option is only honored for images and HTM files.

  7. Tap the Save button.

ClosedImages

The following procedures relate to images.

ClosedView an Image

To view an image:

  1. Open the work order whose image you want to view.

  2. Tap the Attachments option in the menu.

    The Attachments List opens.

  3. Select the image from the Attachments List.

    The View Image page opens.

  4. Once you are done, tap the Done button on the blue footer bar.

ClosedUpload an Image

To upload a new image:

  1. Open the work order you want to upload an image to.

  2. Tap the Attachments option in the menu.

    The Attachments List opens.

  3. Tap the Action button in the section header.

    The Action menu opens.

  4. Select Upload Image.

    MC Express asks if you want to upload an existing image or take a new image.

ClosedEdit Image Settings

Images that are attached to a work order have a specified order for display. This order can be modified and the image can be renamed.

To edit image settings:

  1. Open the work order whose image you want to edit.

  2. Tap the Attachments option in the menu.

    The Attachments List opens.

  3. Select the image from the Attachments List.

    The View Image page opens.

  4. Tap the Action button in the section header.

    The Action menu opens.

  5. Select Image Settings.

    The Image Settings page displays.

  6. Make your changes.

    • File Name — Enter a desired new file name. Files uploaded in the MRO will include a current date and time stamp after the entered name (YEARMMDDTIME).

    • Order — Enter the desired order for display.

  7. Tap the Save button.

ClosedRemove a Document or Image

Note:

External Links cannot be removed from within MC Express, as the linked page or file opens automatically.

To remove a document or image:

  1. Open the work order whose record you want to delete.

  2. Tap the Attachments option in the menu.

    The Attachments List opens.

  3. Select the attachment from the Attachments List.

    The document or image opens on a View page.

  4. Tap the Action button in the section header.

    The Action menu opens.

  5. Select either Remove Document or Remove Image.

    A dialog box opens, asking you to confirm your choice.

  6. Tap the Yes button.

    The record is removed.
