Work Order Labor

Actual labor is recorded against a work order in one of three ways, depending on your organization's configuration and business process:

  • Labor List — Adding a labor record directly from the Labor List, as described below.

  • Start / Stop — If your organization uses the Work Order Start / Stop feature, a work order labor record can be created by selecting Start Timer from the Action menu on the Work Order Summary or Detail page.

  • Status Update — The Status Update process used to Respond, Complete, or Close a work order can be configured to enter your total labor hours. This feature, if enabled, will create a new actual labor record for the hours specified, replacing any records that were created elsewhere in the system.

If your organization uses the Work Order Start / Stop feature, please note the following:

  • Labor records associated with a started work order are marked as Started on the Labor List.

  • Labor records belonging to another user are read-only.

  • If you open one of your labor records, you will see the Stop Timer page, where you can record the time the work was stopped.

  • Administrators with appropriate permissions can edit other users' started work orders. This allows the administrator to release holds on work orders so that they can be completed.

ClosedLabor List

The Labor List displays actual labor recorded against the work order. Each record lists the ID and Name of the individual recording actual labor, the type of labor—such as Employee or Contractor—and the date and hours recorded. If a labor photo is available, it will be displayed to the left of the assignee information.

ClosedAdd Actual Labor

To add actual labor:

  1. Open a work order.

  2. Tap the Labor option in the menu.

    The Labor List opens.

  3. Tap the Plus button on the gray header bar.

    The Add Labor page opens. Your Labor ID will be populated by default, along with the current date and one hour.

  4. Choose between three options:

    • If you are the individual who did labor, leave your labor ID in the Labor field.

    • If you know the labor ID of the individual who did labor, enter their labor ID in the Labor field.

    • If you need to look up the labor ID of the individual who did labor:

      1. Tap the label of the Labor field.

        The Labor Lookup page opens.

      2. Select the individual who did the labor.

  5. To change the date the labor was performed:

    1. Tap the label of the Date field.

    2. Use the Calendar tool to select the appropriate date.

  6. Enter the number of labor hours in the Regular Hours field.

    Hours can be entered as a whole number, or as a decimal.

  7. If the following fields appear, complete them as necessary:

    • Overtime — Hours can be entered as a whole number, or as a decimal.

    • Other Hours — Hours can be entered as a whole number, or as a decimal.

    • Category

    • Account

    • Comments

    • Assignment Complete? — Select Yes or No to indicate whether the assignment is complete.

  8. Tap the Save button.

ClosedEdit Actual Labor

The content of the Edit Labor page depends on whether the record was created using the Start Timer feature. If the record was not created using the Start Timer feature, a standard edit page displays. Records created with the Start Timer feature are typically displayed in view-only mode, showing the recorded Start and Stop time.

You can edit your own labor records. Administrators can also edit a started actual labor record, if necessary.

To edit an actual labor record:

  1. Open the work order whose labor record you want to edit.

  2. Tap the Labor option in the menu.

    The Labor List opens.

  3. Select the labor from the Labor List.

    The Edit Labor page opens. Below the labor detail there is a contact card, providing contact information for the labor record. Depending on the device and browser you are using, the information may be hyperlinked to allow you to initiate contact.

  4. Make your changes.

  5. Tap the Save button.

ClosedRemove Actual Labor

To remove actual labor:

  1. Open the work order whose labor record you want to delete.

  2. Tap the Labor option in the menu.

    The Labor List opens.

  3. Select the labor from the Labor List.

    The Edit Labor page opens.

  4. Tap the Action button in the section header.

    The Action menu opens.

  5. Select Remove Labor.

    A dialog box opens, asking you to confirm your choice.

  6. Tap the Yes button.

    The labor record is removed.
