Work Order Tasks
Tasks are typically only specified for Preventive Maintenance (PM) work orders. Tasks can include general instructions or requests for meter readings or specification values.
While tasks are typically completed against the primary asset specified for the work order, there may also be linked tasks for other assets. When assets are linked, the specific asset on which the task is to be performed is listed below the task.
The global actions available from the Action menu can be run against a filtered set of tasks. The action chosen applies to whichever tasks are currently displayed in the Tasks List.
Tasks List
The Tasks List displays the tasks that are to be completed on the work order. Work Order tasks can be organized into categories with each section separated by a black bar. To view the complete task description for tasks that do not fit in the displayed area, press the expand control on the right.
The status of a task is indicated by an icon on the left side of the screen:

Green flag — complete

Gray flag — incomplete
If a task has been marked as failed or not applicable, the words "failed" or "not applicable" appear on the right side of the screen.
Reading values that have already been entered are shown on the Tasks List. If the reading is out of range, it will be displayed in red.
You can filter the Tasks List by selecting one of four options from the field to the left of the Search field:

Tasks — displays all tasks on the work order

Assets — displays tasks specified for a specific asset (linked asset task)
When using MC Express on a mobile device, selecting Asset also triggers a Scan button to appear, allowing you to scan a barcode for an asset to retrieve any tasks associated with it.

Meters — displays any Meter Reading tasks.

Specifications — displays Specification Reading tasks.
Add a Task
To add a new task:

Open a work order.

Tap the Tasks option in the menu.
The Tasks List opens.

Tap the Action button in the section header.
The Action menu opens.

Select Add Task.
The Add Task page displays. The Task # field is populated with a number that will place the task at the bottom of the list.

If you want the task to appear in a different place in the Tasks List, change the number in the Task # field.
The value in the Task # field must be unique.

Enter a description of the task in the Description field.

Complete any other fields on the page you want to complete.

Tap the Save button.
Edit a Task

Open the work order whose task you want to edit.
-
Tap the Tasks option in the menu.
The Tasks List opens.

Select the task from the Tasks List.
The Edit Task page displays. The page display differs depending on the type of task. For specifications with a defined range, the range is also displayed.

Make your changes.

Tap the Save button.
You can also tap the Save Next button. Save Next navigates you to the next task available on the Tasks List.
Remove a Task
To remove a task:

Open the work order whose task you want to remove.

Tap the Tasks option in the menu.
The Tasks List opens.

Select the task from the Tasks List.
The Edit Task page displays.

Tap the Action button in the section header.
The Action menu opens.

Select Remove Task.
A dialog box opens, asking you to confirm your choice.

Tap the Yes button.
The task is permanently removed.
Complete Tasks

Open the work order whose task you want to complete.
-
Tap the Tasks option in the menu.
The Tasks List opens.

Choose between three options:
-
Tap the task's gray flag on the Tasks List.
The task is marked as complete and the flag becomes green.

Edit the task and select Yes from the Complete? field.
This process is commonly used if additional readings or settings need to be saved.

To mark all tasks as complete on a work order:

Tap the Action button in the section header.
The Action menu opens.

Select Complete All Tasks.

Fail Tasks
To fail a task or tasks:

Open the work order whose task you want to fail.
-
Tap the Tasks option in the menu.
The Tasks List opens.

Choose between two options:
-
Edit the task and select Yes from the Failed? field.

To mark all tasks as failed on a work order:

Tap the Action button in the section header.
The Action menu opens.

Select Fail All Tasks.

Mark Tasks as Not Applicable
If a task that is not applicable to the current situation is listed on a work order, it can be marked as not applicable. This is helpful when a common procedure has been used to populate a set of default tasks, but one or more of the tasks is not applicable to the current work order.
To mark a task or tasks as not applicable:

Open the work order whose task you want to mark as not applicable.

Tap the Tasks option in the menu.
The Tasks List opens.

Choose between two options:

Edit the task and select Yes from the Not Applicable? field.

To mark all tasks as not applicable:
-
Tap the Action button in the section header.
The Action menu opens.

Select Mark All Tasks N/A.

Enter Meter Readings
To enter meter readings:

Open the work order whose task you want to edit.
-
Tap the Tasks option in the menu.
The Tasks List opens.

Select the task from the Tasks List.
The Edit Task page displays. If the meter reading is tied to a linked asset, the asset will be specified at the top of the page. In addition, if a reading has not yet been specified, the current reading will show below the reading field.

Enter the new meter reading in the Reading field.
Depending on how the page has been configured, you may see one or two reading fields, such as one for Initial Reading and one for Final Reading. If there is already a value in the Reading field, this means a user has already entered a value for the reading on this work order.

Select Yes from the Complete? field.

Complete any other fields on the page you want to complete.

Tap the Save button.
You can also tap the Save Next button. Save Next navigates you to the next task available on the Tasks List.
Enter a Specification or Task Reading
To enter a specification or task reading:

Open the work order whose task you want to edit.

Tap the Tasks option in the menu.
The Tasks List opens.

Select the task from the Tasks List.
The Edit Task page displays.
For specification readings, the summary of the specification appears at the top. If the specification has a defined range, it displays. If a reading has not yet been entered for this specification task, the Last Reading displays below the prompt for a new Reading. If the reading is out of range, it will be shown in red. If the specification reading is tied to a different asset than that specified for the work order, that asset will also be listed.

Enter the new reading in the Reading field.
Depending on how the page has been configured, you may see one or two reading fields, such as one for an Initial Reading and one for a Final Reading. If the Reading field's label is hyperlinked, tap it to view a table of acceptable values.
If there is already a value in the Reading field, a user has already entered a value for the reading on this work order. The system will indicate if the value entered is outside of a specified range.

Select Yes from the Complete? field.

Complete any other fields on the page you want to complete.

Tap the Save button.
You can also tap the Save Next button. Save Next navigates you to the next task available on the Tasks List.
Task Images
Organizations that have configured MC Express to allow task images will have options to attach one or two images to each task item. Task items with images already attached will show an attachment icon on the task.
Add or Update an Image
The options that are available will depend on whether or not a camera is detected on the device being used. If no camera is detected, a file directory of existing images may be displayed to allow you to select an image to upload. If a camera is detected, you will first be prompted to indicate if you want to take a photo or upload an existing photo.
To add or update an image:

Open the work order whose task you want to add a photo to.

Tap the Tasks option in the menu.
The Tasks List opens.

Select the task from the Tasks List.
The Edit Task page displays. The image appears at the bottom of the page.

Tap the Action button in the section header.
The Action menu opens.

Tap Add Image.
MC Express asks if you want to upload an existing image or take a new image.

View a Task Image
To view a task image:

Open the work order whose task image you want to view.

Tap the Tasks option in the menu.
The Tasks List opens.

Select the task from the Tasks List.
The Edit Task page displays. The image appears at the bottom of the page.

Tap the image to enlarge it.

Once you are done, tap the Done button on the blue footer bar.
Remove an Image
To remove an image:

Open the work order whose task image you want to remove.

Tap the Tasks option in the menu.
The Tasks List opens.

Select the task from the Tasks List.
The Edit Task page displays. The image appears at the bottom of the page.

Tap the image to enlarge it.

Tap the Action button in the section header.
The Action menu opens.

Select Remove.
A dialog box opens, asking you to confirm your choice.

Tap the Yes button.
The image is removed.
