Contracts sub-tab – Asset module

The Contracts page lists contracts maintained on the asset. Contracts can be added, modified and removed from this page. Assets with service contracts defined will have their contract status listed on the right side of the Asset Details tab.

ClosedField Descriptions

The following fields are displayed in the Contracts List:

  • Vendor Name — The vendor associated with the contract.

  • Contract Name / # — The name and number of the contract.

  • Contract Type / Costs — The type of contract and any associated rate or cost.

  • Start Date / Expiration — The start and expiration date of the contract.

ClosedAdding a Contract to an Asset

There are two methods for adding a contract to an asset:

  • You can create an entirely new contract for an asset by clicking the Add New button.

  • If the contract has already been defined in the Contract module, you can use the Add button to access the Contracts lookup and select the existing contract.

ClosedAdd New Contract 

To create an entirely new contract for an asset:

  1. Click the Add New button.

    An empty Contract window will open, allowing you to define your new contract.

  2. Complete the requested information on the Contract Information tab.

    If desired, you can access the Contract Notes or Contract Documents tabs to enter notes or upload documents. For detailed information on creating new contracts, see: Create New Contract.

    Note:

    It is not necessary to enter asset information in the Contract Assets tab, as this contract will automatically be associated with the current asset upon saving.

  3. Click the Save button.

    Your changes are saved.

  4. Click the Close button.

    The Asset > Related Info > Contracts page appears and with your new contract is listed.

ClosedAdd Existing Contract to Asset

To associate a previously existing contract with an asset:

  1. Click the Add button.

    The Contract lookup opens, allowing you to select the company associated with the contract.

  2. Use the filter and search controls to identify the items you want to add.

    Selecting a node in the Asset List on the left refreshes the results to those contracts associated with this asset or node. The All Levels indicator in the upper right can be used to specify that you wish to view contracts for all levels below the selected node.

  3. Click the contract you want to associate with the asset.

  4. Click the Apply button.

    The Contract lookup closes, and the new contract record is added to the Contract List.

ClosedEdit Contract Records

To edit a contract associated with the asset:

  1. Double click the contract record.

    The Contracts dialog box displays.

  2. Make your changes.

    Use the Contracts dialog box to modify the contract information as needed.

  3. Click the Save button.

  4. Click the Close button.

    The Asset Contracts page appears.

ClosedRemove Contract Records

To remove a contract record associated with the asset:

  1. Click the check box to the left of the contract you want to remove.

    A check mark appears, indicating the record has been selected.

  2. Click the Remove button.

    The contract record is removed.

    Note:

    It is not necessary to click Save when removing contract records.
