Direct Spaces Configuration Guide

The Direct Spaces App requires little to no configuration beyond what you already set up for the Web Application.

User Access

  • All Everyday Users can access the app.
  • The app uses the Permissions and Security set up for the everyday user.

App Set Up

When you first set up Direct Spaces, you’ll enter your email. Direct Spaces finds the booking assistant that corresponds to the email domain of your company.

If your email domain is different from the company domain, you'll need to add your assistant. For example, if an Accruent employee's email is john@accruent.com, Direct Spaces finds their assistant.

If an employee's email is john@accruentcontractor.com, they must search for and add their company assistant.

Intents

The app requires the use of Intents. They are used in our Google and Outlook Web Interfaces to group Process Templates together to create a more streamlined user experience.

You can show intents on the Direct Spaces Home screen. This configurable feature is off by default. To add intents to the Direct Spaces widget, contact your Professional Services consultant or account manager.

The buttons that users see in the Direct Spaces widget depend on whether or not the intents feature is on or off.

If the intents feature is off:

  • For a single intent, to start a reservation, tap Create Booking.

  • If you have multiple intents that are not configured to appear on the Direct Space widget, tap Create Booking. The booking screen appears with the intents. You can then tap an intent to start the booking process.

If the intents feature is on:

  • For a single or multiple intents, there is no default Create Booking button. The buttons that represent the intents appear on the Direct Spaces widget.

  • Everyday Users can request or book rooms that are associated to a process template that is assigned to that user.

Labels

If you created custom labels in EMS Desktop Client, then Direct Spaces displays the custom label instead of the default field name.

Approvals

Approvals must be configured in the user’s everyday user security template.

QR Codes

To generate QR codes from within EMS for all rooms, select Hoteling > Reports >Room Card – QR Code Report.

Floor Plan File Formats

We support the following floorplan file formats: .png, .jpg, .jpeg, .jpe, .jfif, .svg.

Custom Room Pins

We support custom room pins in floor plans. Pins must be 28x28 pixels or less.

We also support mobile floor plan pins. For pins larger than 28x28 pixels, the pin is a transparent green or red circle. If you do not use the recommended pins, then the mobile-specific pins will be implemented.
