Note:
Fields and field names are often tailored by your organization during configuration. Contact your System Administrator for further information about the fields on this page.
The following fields appear on the New Asset page:
-
Classification — drives numerous other field values. Asset Classifications are templates of assets maintained in your organization. Numerous assets typically exist for each asset classification, so your organization can define important information that applies to all assets of that classification in one place.
Selecting the Asset Classification will determine the type of asset, along with any default values for ID/Name. In addition, the asset classification may include attributes such as model or manufacturer, and may even populate default sub-records such as specifications and parts. Depending on the classification's configuration, it can also result in "locked" fields, ensuring these values cannot be changed from that defined in the classification template.
-
Type — specifies whether the record corresponds to a location or piece of equipment ("L" for location and "A" for asset / equipment). Locations refer to the physical locations, buildings, or rooms in which assets reside.
In some cases, locations are defined purely for organizational purposes, creating structure in the asset hierarchy. In these situations, the location may not be maintained and may not have work orders associated with it. In other cases, however, locations can be maintained like any other asset. For example, a "room" might have maintenance scheduled for painting or may have wall or floor damage that requires repair.
Equipment (type of "A" for asset / equipment) includes all the assets in your organization that are maintained through preventive maintenance schedules and corrective work orders.
-
Asset ID and Name — The default values for these fields are driven by the Asset Classification, based on your organization's settings for how Asset ID and Name should be populated. Refer to the Asset ID and Name Population Logic section below to understand the default values populated and options available to you.
Note:
If these fields are not populated when an asset classification is specified, you are free to enter any unique ID into Asset ID and any desired value into Asset Name.
-
Additional Fields — A series of organizational attribute fields display, such as Repair Center, Shop, and Account. These values are propagated to any work orders created for the asset. When organizational attributes are assigned to a work order, they are retrieved from the first value found when navigating up the hierarchy. This means if this asset does not have a value in the Account field, but its parent has a value defined, any work order created will be assigned the Account that is listed on the parent asset.
Additional field prompts such as category, manufacturer, vendor, and warranty / purchase dates also display. A section of Custom Fields displays at the end of the page if configured for use at your organization.
The default value displayed for Asset ID, Name, and Type are driven by the Asset Classification and based on the settings at your organization.
The Asset Name field may pre-populate with the "Classification Name". If the field is editable, this value can be modified with additional descriptive information.
The default value for Asset ID is based on the type of asset and whether or not your organization has configured MC Express to help you "build the ID".
Equipment (Type of "A" – Asset / Equipment):
-
Classification (Auto-Number) — If this format is displayed, upon saving the record, MC will generate the ID and apply the next available number for the classification.
-
Classification – XX — If this value is displayed, your organization has configured the page to automatically show you the next available ID for this classification. You can modify the unique identifier (number) shown.
-
No Value — If no value is displayed for Asset ID, your organization does not use the ID Builder and any unique identifier can be specified.
Locations (Type of "L" – Location):
-
Parent ID- — If your organization uses the "ID-Builder" a default value displays showing the Parent ID, followed by a dash. You must append a unique (and short) identifying value for the newly created asset.
-
No Value — If no value is displayed for Asset ID, your organization does not use the ID Builder and any unique identifier can be specified.
